HR Operations Lead (m/f)

For our Client, international manufacturing company, we are looking for an experienced HR Operations Lead to take ownership of HR Operations delivery and drive the transformation of the HR administration model across an international organization. This is a senior, hands-on role combining HR Operations expertise, process transformation, international provider management and Compensation & Benefits knowledge. The successful candidate will play a key role in establishing Poland as the HR Operations hub and creating a consistent, scalable framework supporting operations across 16 countries.

Responsibilities:

  • lead the transformation of the HR Operations model, establishing Poland as the central hub and defining clear responsibilities between central, local and external providers,
  • design and standardize HR processes, service standards, SLAs, KPIs, controls and escalation mechanisms,
  • take end-to-end ownership of HR administration, covering the full employee lifecycle, employment and B2B contracts, personal files, employee data, time and absence management, benefits and mandatory employment documentation,
  • manage and govern external HR administration and payroll providers across 16 countries, ensuring timely, accurate and compliant service delivery,
  • oversee payroll governance, including payroll inputs and outputs, controls, issue resolution and coordination of corrections,
  • drive HR systems and process excellence by improving HRIS workflows, data quality, reporting and automation while reducing manual activities and unnecessary local variations,
  • build a consistent Group HR Operations framework while ensuring appropriate local compliance,
  • take an active role in Compensation & Benefits / Total Rewards, including salary reviews, remuneration structures, benefits, benchmarking and workforce cost analytics,
  • ensure high standards of HR data quality, documentation and reporting, including headcount, payroll, absence and contract reporting,
  • identify compliance risks and cooperate closely with local payroll, legal, and HR experts,
  • lead HR Operations projects and change initiatives, combining strategic process design with hands-on execution.

Requirements:

  • significant experience in HR Operations/HR Administration, ideally gained in an international, multi-country environment,
  • expert-level practical knowledge of Polish HR administration and employment processes,
  • strong experience in process design, standardization and optimization,
  • advanced knowledge of payroll governance and controls,
  • strong expertise in Compensation & Benefits/Total Rewards,
  • experience managing external HR, payroll providers across multiple countries,
  • good understanding of HRIS systems, workflow automation and HR data management,
  • experience with HR reporting, data controls and process governance,
  • strong awareness of employment law and compliance risks, with the ability to effectively cooperate with local subject-matter experts,
  • proven project and change management capabilities,
  • strong stakeholder management and leadership skills,
  • fluent English.
